Integration Special Traffic and Visual Tour Builder (Specific for Personal Touch Travel)

Why this integration?
Thanks to the connection between Special Traffic and the Visual Tour Builder, you can open, edit, and send travel proposals created by Special Traffic directly from your own VTB account.

Benefits:

• Time-saving: You no longer need to build the proposal yourself
• Easy to send: Send the proposal digitally or as a PDF to your customer.
• Professional look: The proposal is automatically formatted in the Personal Touch Travel style, complete with your personal details.

What exactly does the integration do?
Your colleague at Special Traffic prepares the travel proposal, just like before. Instead of receiving it only as a PDF, you can now open it directly in your Visual Tour Builder account.

The proposal is already fully set up with travel components and text. All you need to do is:

1. Review the content
2. Adjust or expand it if desired
3. Add the price information

After that, you can send the proposal to your customer right away, digitally or as a PDF.

Note: The integration applies only to the travel proposal. Once the customer books, the booking confirmation and travel documents will still be handled by Special Traffic (as usual) in PDF format and by post.

Important notes

• Price information: You will receive this by email from Special Traffic. Enter it yourself in step 3 of the VTB, just as you normally do with your other travel proposals in the system.

• Booking Text: These are the important notes from Special Traffic, both general and specific to the received proposal. The standard Personal Touch Travel booking text will be overwritten. You’ll see this in step 4.

• Flexible: Happy with the proposal? Then you’ll barely need to change anything. Want to make it neater, more detailed, or add your personal touch? You can edit everything as you normally would in the different VTB steps.
  
  Keep in mind: if you receive a new version of the proposal from Special Traffic, you’ll need to import it again, and reapply any personal changes if necessary. It’s essentially a one-way integration.

• PTT template with your personal touch: As always, you’ll send the proposal in the Personal Touch Travel style and with your personal details. The big difference? Your colleague at Special Traffic has already done most of the work, giving you a quick start in the VTB.

Step-by-step guide

Step 1 – Receive and save the file
You’ll receive an email from Special Traffic with a .JSON file attached. Save this file to your computer in an easy-to-find location, with a clear, recognizable name.

Step 2 – Open the saved file in your VTB account

• Click “Create new VTB”.

• You’ll now see a new option: “Import VTB data”. Click on it.

• Select the correct file: the JSON you saved in step 1.
• Give your VTB a name.

• Click “Create” and the VTB will open.
• Tip: In your overview, you’ll see that this proposal was imported from Special Traffic.

Step 3 – Review, edit, and add prices
The travel proposal automatically opens in Step 2 of the VTB. Here, you can review the proposal and make any changes or additions.

Then go to Step 3 and fill in the price information you received by email from Special Traffic. After import, all prices are set to €0 by default, so you’ll need to fill these in yourself.

Step 4 – Publish and send the proposal
Once you’re satisfied:

• Review the Booking Text in Step 4, this has been replaced by the notes from Special Traffic.
• Publish the proposal.
• Send it directly from the Visual Tour Builder to your customer,  digitally or as a PDF.
